Incentives and Conference Support |
|
To help make your
incentive trip or conference a success, all you need to do is discuss
your requirements with these companies; they'll draw on their
expertise and resources to tailor a unique package for your group.
Conference and incentive organisers are not tied down to one way of
doing things. They can solicit proposals from various suppliers,
comparing cost and level of services to find what's best for you. Feel
free to discuss ideas with them. Often the discussion process itself
gives rise to new, exciting ideas for your incentive trip.
Hong Kong's Service Sector
Hong Kong is home to a wealth of organisations dedicated to providing
top-level service, imaginative programmes and value for money. We can
assist your group in all aspects of the event, before, after and while
your group is in Hong Kong. Moreover, the Hong Kong Tourism Board will
be happy to provide impartial advice to ensure that you select the
best organiser for your needs. You can choose from the following
supporting services to make your incentive trip a success :
-
Destination Management Companies
They are ground handling agents, tour operators and conference
handling agents who are experienced in dealing with large groups of
people and are available to assist with conference and incentive
groups. They can help select and book the venue, arrange ground
transfers, sightseeing and programmes for accompanying persons.
Accommodation, ground transfers and tours can all be arranged
professionally in advance. Advice is also available on the selection
of service suppliers. To ensure that your event proceeds as planned,
you can take advantage of on-site management of your event.
Secretariat support for your organising committee can also be
arranged.
Complete Conference Organising
Professionals in many areas can offer a full range of supporting
services to make your meeting a success. They can help with
programme planning and budget control, as well as registration
processing. A variety of agencies can provide top-quality publicity,
promotion and print production services, and can help you obtain
sponsorship for your event.
Additional services, such as programme mailing, on-site event
management, and pre- and post-event tour arranging can be offered.
Organising Exhibitions
Professional Exhibition Organisers (PEOs) are companies specialising
in organising exhibitions and trade shows. They can also help your
organisation arrange a trade show to complement an international
conference. PEOs undertake their own research, marketing and selling
of exhibition booths, which can be a major source of income for many
international conferences.
Exhibition Contracting Services
Exhibition contractors are companies that will design, install and
dismantle conference or exhibition facilities, such as booths,
backdrops, signs and stage settings. They operate within
specifications laid down by client. Their understanding of each
venue's physical environment helps them make the best use of space
to minimise rental costs.
Interpretation and Translation Services
Companies and consultants will supply skilled interpreters and rent
Simultaneous Interpretation (SI) equipment. If the language experts
you require are not available locally, they will be recruited from
within the region. These companies will also advise you on making
the best use of SI during your events. Many venues have built-in SI
facilities. Please refer to the Venues - The Offical Convention,
Exhibition & Incentive Travel Facilities Guide. Mobile SI booths can
be rented and installed in venues.
Audio Visual Production and Staging Services are provided by
production companies. In addition to producing and staging AV shows
and providing equipment, these companies can film your events, if
you require it.
Business Centres can solve many of the problems that arise if
your organisation does not have a proper office set up in Hong Kong.
You can arrange everything you need, from short-term leasing of
office premises, and telecommunication services to secretarial
support and more.
Coach and Car Hire can be easily arranged to transfer groups or
VIPs. Hong Kong has many experienced coach and limousine companies
which specialise in moving large and small groups of people around.
Consider renting a Rolls-Royce as a special treat for your VIP
guests. Public transport vehicles, such as trams, buses or ferries
can often be chartered for private group functions. High-flyers can
charter a helicopter for a bird's eye view of Hong Kong.
Planning and Producing Events
Entertainment organisers will plan and produce special functions and
events, create theme parties and provide top-quality entertainment
ranging from Chinese cultural shows and fashion shows through to
international acts. They will offer new and innovation ideas that
will fire your imagination.

no better time to experience Hong Kong Chinese traditions and
lifestyle than at Chinese New Year. And by attending and having a
float in the Chinese New Year Parade, alongside so many Hong Kong
companies and civic organisations, every one of our 320 participants
could feel truly involved for an afternoon in the life of the city. It
was in that sense the high point of a truly exciting and memorable
series of events and activities during our visit to Hong Kong." Mr
Pascale Fraumont, Director of Marketing, Feu Vert.
